All about a Newborn Photoshoot – booking process and more

Are you looking for newborn photography in Kitchener or Cambridge? If yes, then you are at the right place. This can be both an exciting and overwhelming time for parents. However, to make it easier for you, I have broken down the instructions into a few simple steps. Note that the best time to do a newborn photoshoot is within the first two weeks of the baby’s birth when they are still in their sleepy phase.  Considering how busy you will get once the baby arrives the best time to book your newborn session is while you are pregnant, ideally during your second trimester. A limited number of spots are allocated for newborn sessions each month. I try my best to accommodate last-minute bookings but there is no guarantee that there will be a spot available if you wait until after the baby is born. It is best reserve a spot on my calendar at least 6 – 8 weeks before your due date to avoid any disappointment later.

Process

Step 1 – Phone consultation

Once you contact me and show your interest in booking a newborn photoshoot session, I will arrange a phone or email consultation. In our consultation, we will discuss in detail what style of newborn photos you are expecting from this session.

Step 2 – Signing contract and session fee payment.

After the phone consultation, you will receive:

(1) an email including a photography contract and

(2) an invoice for a non-refundable session fee.

Photography contract – You are required to fill up all the information in the contract, read the terms and condition carefully and submit it. The date selected for your session in this contract is a tentative date. The actual photoshoot date might change depending on when the baby arrives.

Session fee – The session fee is non-refundable and does not include any digital images, prints or products. The session fee covers shooting time and props usage.

Once the signed contract and session fee has been received an email will be sent to confirm. Note that I cannot book and confirm a spot for your newborn session until I receive both a signed contract and a non-refundable session fee.

Step 3 – Inform me about the baby’s birth

Please inform me about the baby’s arrival within 3 days of birth. Once you inform me about the birth of your baby, you will receive a confirmed date for your newborn photoshoot. The new photoshoot date could be different than what we had originally decided depending on when the baby arrives, and the health of mom and baby. You will also receive a link to the preparation guide in an email. The perp guide helps you to be ready for the session so that it goes as smoothly as possible. It is particularly important you read the prep guide carefully and follow it. After reading and filling in the information in the prep guide you must submit it so that I know your readiness prior to the session.

Step 4 – Photoshoot Day

You come for your photoshoot on the scheduled day and enjoy your session.

Step 5 – Reveal appointment

After about 10 – 14 days (about 2 weeks) of the photoshoot reveal appointment is scheduled. At the reveal appointment, you will be shown a gallery of images (20 – 40images) to choose your favourite images from. Depending on the number of images you wish to buy, you will choose your package on this day and make payment for the same. The images shown at the reveal appointment will be soft edits and only the ones you decide to purchase will be fully edited and sent to you later (7 – 14 days (about 2 weeks) after reveal appointment to be downloaded). Note that the gallery shown to you during the reveal appointment is only for the purpose of choosing your favourite images you wish to purchase. The entire gallery will not be given, only the images you like could be bought from the gallery.

You are required to pay only the session fee at the time of booking. Packages are chosen and paid for on the day of the reveal appointment (7 – 14 days (about 2 weeks) after the photoshoot).two
